1. Scope
This Privacy Policy describes how Elan Ledgers handles information when account holders, business owners, team members, customers or support users interact with our applications and services. A business using Elan Ledgers controls the business records it enters and is responsible for having an appropriate lawful basis for customer, supplier and employee information.
2. Information we handle
Account and contact information
This may include names, usernames, phone numbers, email addresses, business names, physical addresses, profile information, role IDs, shop IDs and authentication records.
Business and financial records
This may include products, stock, sales, orders, quotations, invoices, receipts, purchases, expenses, accounts, balances, payment records, suppliers, customers, reports, payroll and other records a user chooses to manage.
Device, location and technical information
We may process device identifiers for push notifications and verified-device attendance. Precise location is processed when a user chooses GPS attendance. Technical logs may include dates, actions, app version, device details, network status and error information.
User content
This may include product or profile images, documents, attachments, support messages, notes and voice input. Microphone and speech recognition are used only when the user starts a voice feature.
AI requests
When My Elan Agent is enabled and used online, a user's question and relevant summarized business context may be processed to generate a response. Access remains subject to the user's role and shop scope.
3. How we use information
- Provide, synchronize and secure Elan Ledgers services.
- Authenticate users and enforce role, permission and shop-level access.
- Process business records and generate receipts, bills, statements and reports.
- Provide notifications, support, attendance and optional AI features.
- Maintain offline functionality and synchronize pending supported records.
- Detect errors, prevent misuse, maintain audit logs and improve reliability.
- Meet legal, accounting, security and contractual obligations.
5. Offline storage, transfers and security
Elan Ledgers uses local device storage for offline-first operation and may securely store session, configuration and business records on the device. Data is also transmitted to our servers using encrypted network connections. Access controls, authentication, shop scoping, audit logs and secure token storage are used to reduce risk. No system can guarantee absolute security, so users should protect device access, credentials and backups.
6. Retention
Information is retained while needed to provide the service, maintain legitimate business and accounting records, resolve support or security matters, and comply with legal obligations. Retention may depend on the record type and instructions from the business account holder. Local cached data may remain until it is synchronized, cleared through app controls, removed on sign-out where applicable, or the app is uninstalled.
7. Your choices and rights
Depending on applicable law and your relationship with the business account, you may request access, correction, export or deletion of personal information. Business team members should first contact their business owner or administrator because the business may control their records. Account holders can submit a privacy or account deletion request through in-app Support or by emailing us from the registered address.
Device permissions such as camera, microphone, photos, notifications, Bluetooth, local network, Face ID and location can be controlled through device settings. Disabling a permission may prevent the related feature from working.
8. Children's privacy
Elan Ledgers is a business management service and is not directed to children. Account holders should not create user accounts for children unless permitted by applicable law and appropriate for a legitimate organizational use.
9. Changes to this policy
We may update this policy when our services, legal obligations or data practices change. The effective date at the top will be updated, and material changes may also be communicated through the app or other appropriate channels.
